Identify the entrance and decision-maker
Provide the street address plus the relevant entrance or loading point. Assign someone who can answer placement questions and explain who may authorize a change. If the site will be unattended, agree acceptable instructions with the provider before delivery.
Walk the proposed position
Look at the surface, slope, overhead obstacles and the route users will take. Leave room around doors, accessible approaches and handwashing equipment. A trailer requires a separate check of access steps, utility arrangements and space for its delivery vehicle.
Protect future servicing access
Do not plan only for the first vehicle visit. Keep the route clear when tents, materials, fencing or parked cars arrive later. Record who will handle gate access and where the provider should report a problem during the rental.
Confirm the handover and the finish
Before use, check that the delivered equipment matches the agreed arrangement and report concerns promptly. Keep supplies and service instructions available to the responsible contact. Request collection explicitly when the rental is finished, and keep the entrance accessible until pickup is confirmed.
