Explain the unusual part first
Tell us about the detail that could affect delivery or use: a narrow vendor window, separate participant groups, an overnight programme or a remote activity area. The rental team can then ask relevant questions rather than treating the request as a routine single-location drop.
Match equipment to each group
Guests, production staff and workers may need access at different times and places. Describe who uses each area and which permanent facilities remain available. Include accessible routes and handwashing instead of assuming one set of equipment serves every location equally well.
Agree who approves placement
A venue representative may need to approve the position even if another person placed the order. Resolve that before arrival and give the delivery contact a clear point of contact. A sketch can be helpful when several entrances have similar names.
Leave room for a revised plan
If the programme moves or weather changes the available space, contact the provider before relocating equipment. Availability of replacement equipment or extra visits must be reviewed; it is not promised by the website. Keep the agreed responsibilities and final collection arrangements in writing.
